Working remotely from Sri Lanka, you'll collaborate closely with our US-based team while maintaining full responsibility for core bookkeeping functions.
Responsibilities:
- Process vendor invoices, payments, and purchase order matching in Xero; record customer payments and manage collections follow-up; reconcile A/P and A/R aging reports and resolve discrepancies promptly
- Perform monthly reconciliations for bank accounts and credit cards, ensuring all transactions are coded accurately to the correct accounts and cost centers, and investigate and resolve reconciling items in a timely manner
- Process the complete payroll cycle including wage calculations, tax withholdings, and direct deposits; prepare and file quarterly and annual payroll tax returns (941, 940, state filings); and maintain accurate payroll records in coordination with HR
- Coordinate with outsourced compliance partners to ensure timely filing of sales tax and B&O returns across applicable states; maintain filing calendars and respond to notices or follow-up requests from partners
- Complete all necessary QC checks in preparation for month-end close, including tracking down missing invoices and shipped dates, and identify and report any missing Xero links to the Home Office team prior to close deadlines
- Assist in identifying and documenting transaction discrepancies, write-offs, and unexplained variances for Home Office review, and flag patterns or anomalies in transaction data that may indicate processing errors or losses
Requirements:
- 3+ years of bookkeeping experience, preferably supporting US-based e-commerce companies
- Proficiency in Xero (required); experience with high-volume transaction environments a plus
- Strong understanding of US GAAP bookkeeping standards and compliance requirements
- Experience processing US payroll and filing federal and state payroll tax returns
- Advanced Microsoft Excel skills including pivot tables and VLOOKUPs
- Demonstrated ability to manage a full bookkeeping cycle independently with minimal supervision
- High attention to detail and ability to maintain accuracy across large transaction volumes
- Strong written and verbal English communication skills; comfortable working across time zones using Slack, Zoom, and email
- High level of integrity and discretion with confidential financial information
